Job description

We are looking to recruit an Operations Administrator who will work directly with the Operations Managers to meet our growing business needs. This role will involve a proactive approach to operations administration in a fast-moving environment. This role is fulltime (39 hours per week) with some weekend work required. It is a permanent role (subject to probation) and the successful candidate will be based in our Naas office.

Salary will be commensurate with experience.

 

Main Duties and Responsibilities:

– Work with the Operation Administration Support Team to ensure that processes and procedures are being followed accordingly.

– Act as the point of contact for any queries on travel, project briefings, operations processes and procedures for all assigned projects.

– Establish and build good working relations with OFS customers, field engineers and operations managers

– Assist with maintaining the personnel tracker and job schedule.

– Maintain the operations databases and systems; end user file, travel log, customer file, feedback forms and timesheets, briefings.

– Adhere to the Company’s internal processes and control systems and work continually to try to improve the current operational systems and processes

– Process and get approval for all travel invoices, expenses and timesheets for development of invoicing packs to be handed over to Finance.

– Work closely with internal administration departments (Finance, HR, QHSE, Training, etc) when necessary.

– Effectively arrange travel arrangements (flights, accommodation, car hire) as required for field personnel in a timely manner

– Demonstrate adaptability when arranging travel arrangements which could be required at a short notice.

– Record all travel arrangements on travel log and other databases and systems.

– Work closely with field personnel and managers to effectively arrange and communicate travel arrangements

– Work to expand and develop job briefings using feedback information, pre-brief information and other sources of knowledge.

– Add job briefings to the database to record briefings that have been sent out

– Track and manage passport renewals

– Assist with the visa processing for assigned engineers and projects.

– Maintain visa records and update visa database.

– Work closely with visa service providers, consultants, government agencies, customer agencies and embassies.

– Coordinate timesheet submissions to ensure that timesheets and expenses are submitted by field engineers before agreed monthly submission dates.

– Responsible for checking timesheets to ensure correct work hours are inputted, that they are signed and approved and are in correct format

– Prepare timesheets for invoicing packs and correlate to job numbers

– Ensure expenses are submitted on time and in correct format with supporting documentation

· Must have excellent proficiency in Microsoft Office suite.

· Strong communication and interpersonal skills.

· Excellent organisation skills required

· Strong ability to Multi-Task.

· Good attention to detail

· Be versatile, flexible, results oriented, and have the ability to organize and prioritize work

Main Duties and Responsibilities:

· Work within the Operations Team, leading and managing the full 360 recruitment lifecycle

· Confidently manage technical recruitment goals of the Company in collaboration with the Resourcing Director and Hiring Managers.

· Source candidates through various platforms by developing and executing strategies to generate candidate flow aligned with the business needs

· Use creative strategies to proactively attract, assess, and engage passive candidates

· Actively build talent pipelines

· Design, create or update job descriptions in collaboration with the Hiring Manager

· Manage external recruitment advertising, ensuring a consistent posting process

· Screen, short-list and interview potential candidates to verify technical requirements and prepare professional write-ups for hiring managers/clients

· Guide and lead candidates through the recruitment cycle, from the hiring process to onboarding, ensuring a streamlined and positive candidate experience

· Coordinate the efficient management of information with other departments as required

· Track, analyse and produce weekly reports on recruiting metrics and drive process improvements

Key requirements:

· Professional recruitment experience with proven ability to manage the full recruitment life cycle

· Knowledge and experience of recruiting Engineering/Technical personnel

· Strong technical knowledge with ability to keep abreast of technical trends

· In-house recruitment experience and an ability to demonstrate strong stakeholder management would be an advantage

· Ability to forge and maintain relationships over the telephone and face to face

· Desire to progress in a dynamic environment

· Must have excellent proficiency in Microsoft Office suite

· Strong communication and interpersonal skills

· Excellent organisation skills required

· Good attention to detail

· Strong ability to multi-task
